What does a wedding or event planner actually do?
Great question! Most people aren’t sure at first. We help organize all the moving pieces of your event. This includes:
1) Helping you create a realistic plan and day-of schedule
2) Recommending trusted professionals such as caterers, photographers, DJs, florists
3) Communicating with those professionals on your behalf
4) Managing setup, logistics, and problem-solving

What's the difference between a venue coordinator and a wedding/event planner?
“Venue” refers to the site your wedding or event is taking place in. Your venue coordinator works for the venue and will ensure everything that pertains to the venue (room set up, unlocking doors, venue staff is scheduled properly) is running smoothly.
Your event coordinator (that’s us!) will help with overall planning items such as your overall day-of schedule, recommending and booking ALL your vendors, making sure each vendor involved has all the details they need to successfully execute your wedding or event, solve unexpected issues, helping your overall vision come to life, plus more (see the details here!). Tip: “vendors” refers to professionals like photographers, caterer, florist, etc)

Do I really need a planner if my venue includes a coordinator?
Many venues include a coordinator, but they focus on the venue itself and not your entire event.
If you want someone to manage your vendors, a clear day-of schedule, a stress-free day, help making decisions, and someone to handle unexpected problems…that’s where we come in.

How involved do I need to be?
As involved as you want to be. In our experience, wedding and most social gathering clients desire to be more involved in the planning process because the big day is extremely personal.
Some clients love being hands-on. Others want guidance and direction. We tailor our process to match your personality and comfort level.
Either way, we will come alongside you in the admin process (think emails and contacting vendors, asking and answering questions, etc) to take that off your plate.

What is a "Day-Of Coordinator?"
Despite the name, it’s more than just showing up on the event day. Your “day-of coordinator” is a resource from the moment you book with 618 EVENTS. Then, we become more involved 2 months before your event. During that time, we:
1) Review your vendor contracts
2) Build your detailed day-of schedule
3) Confirm final details with everyone involved
4) Create a floor plan for your spaceThen on the event day, we’re there in person to run everything so you don’t have to answer questions, solve problems, or manage logistics.

What's the average cost of a wedding and event planner?
Cost depends on the event. For weddings, our starting price is listed on the wedding planning page. For corporate events or social gatherings, it really depends on location, how many people will attend, and what is happening at the event.
We highly recommend connecting with us to determine which package is the best fit and to provide you the most accurate quote.

What do your fees include?
Our fees include the time it takes to complete the agreed upon planning and coordinating services.
The fees do not include any extra purchases such as decorations, food, a tent rental, etc. Anything outside of our planning services will be an additional cost to you.

Do you have a minimum planning fee?
Yes! We have set packages for most types of events, but if we plan hourly we do have a minimum fee. You can find these details on the individual event type page.

Do you provide catering services? What about rentals, flowers, decor?
While we don’t provide the actual food or candles/flowers/chairs/etc, we know professionals in each of those areas that do provide those items.
618 EVENTS helps you to plan your event and coordinate all those details, but we don’t provide those products. Contact us today!

Do you provide professional event and wedding vendor recommendations?
Yes! This is included in every package but we will also give you a FREE list of our central Illinois recommended vendors just for filling out this form. (Tip: “vendors” refers to professionals like photographers, caterer, florist, etc)

What happens if something goes wrong?
We know what you’re thinking- rain in the forecast, a vendor not showing up, missing bouquets, or unexpected family drama.
Rest assured, we always build backup plans and work with trusted, experienced vendors. And if something unexpected does happen, we have a strong network we can rely on quickly.
Most importantly, we handle issues quietly and professionally. Our goal is that you never even realize something didn’t go exactly as planned. Will you stay until the end of my event?
Our packages include up to 12 hours of coverage on your event day. If staying through the end for clean-up support is important to you, we’re happy to include that within those 12 hours.
Our most popular coverage window is 9am–9pm. This allows us to oversee setup, direct vendors as they arrive, manage the full day-of schedule, and ensure the event is running smoothly before we step away.
For events and weddings in Champaign-Urbana, we also offer the option to flex 2 of the 12 hours specifically for end-of-night clean-up support. If that’s a priority for you, we’re happy to talk through what that could look like.

When: When to hire a wedding and event planner?
From the beginning. Or the middle if that’s when you realize you want help. We will always be there on your event day.
For weddings and corporate events we highly recommend 12-16 months prior. For smaller social gatherings we recommend anything more than 3 months prior for the best planning experience.
